Fuel Management Systems
Capturing every fueling, reconciling the fuel farm and keeping QC records audit-ready: truck meter registers, digital fuel tickets, tank gauges, fuel-QC apps, self-serve stations and the FBO software that ties them to the invoice.
Fuel management at an FBO is three jobs: capture every fueling accurately at the truck or the self-serve island, keep the fuel farm reconciled and the quality-control records audit-ready, and get each transaction onto an invoice without re-keying. Most FBOs get the first and last from their FBO software, which reads the truck's electronic meter register: X-1FBO, FBO Director, Atlas FBO Software, AVMAN, aerops and World Fuel's avPOS with Connected Truck are listed here for their fuel modules and compared in full on the FBO Management Software page.
Around that software sit the specialists. Meter registers turn a refueler into a data source: the TCS 3000 from Total Control Systems (named by X-1FBO, FBO Director and Atlas), Veeder-Root's EMR4 with DataLink and its TLS tank gauges for the fuel farm, and Liquid Controls' LCR.iQ, which adds JIG water and differential-pressure shutdown. QT Technologies runs digital fuel tickets and fuel-farm inventory at more than 320 airports and names Signature, Atlantic and Million Air on its FBO page. NDX Inspections replaces paper ATA 103 and JIG quality-control logs and runs NATA's Fuel QC Management System. U-Fuel builds self-serve avgas and jet stations with card readers and a water-defense pump shutoff.
On the operator side, FuelerLinx is the fuel-planning and tankering tool many flight departments use to compare contract prices and dispatch fuel orders, and its FBOlinx portal lets an FBO send customer-specific quotes into it. Only FBO Director and aerops publish software prices; hardware makers sell through quotes and distributors. Every fact on this page comes from the vendor's own site on the date shown on its listing.

Questions about fuel management systems
- What does fuel management software do for an FBO?
- It records each fueling (aircraft, customer, quantity, fuel grade, truck and meter readings), turns it into a ticket and an invoice, tracks inventory by tank and truck, and reconciles what the meters say against what was delivered into the farm. The better systems also keep the daily quality-control records — sumps, filter differential pressure, water checks — that ATA 103 and fuel-supplier audits ask for. Some FBOs get all of this inside their FBO management software; others add a specialist for tickets, inventory or QC records.
- How do refueler meters connect to FBO software?
- Through an electronic register on the meter. X-1FBO integrates the TCS 3000 register; FBO Director imports from Veeder-Root, TCS and Fuel Meter Cloud; Atlas FBO Software's Premier tier adds meter tracking with Veeder-Root and TCS; World Fuel's Connected Truck captures meter data for avPOS. Veeder-Root's DataLink passes register transactions to FBO management software, and Liquid Controls' LCR.iQ offers open data access for third-party fleet systems. QT Gateway works with both digital and mechanical registers.
- How can an FBO digitize its fuel quality-control records?
- NDX Inspections replaces paper logs with mobile forms built for ATA 103 and JIG 1, 2 and 4, verifies that inspectors were at the tank or truck with QR codes and NFC tags, tracks calibration and certification dates for tanks and filter vessels, and exports reports in ATA 103 and JIG layouts. NATA's Fuel QC Management System runs on it. X-1FBO adds fuel lot tracking to its truck app.
- Which systems stop a fueling when water or filter problems are detected?
- The TCS 3000 register takes water-sensor and differential-pressure inputs that can warn, stop the delivery and lock out the fueler until a supervisor clears it. Liquid Controls' LCR.iQ provides JIG 58 differential-pressure shutdown and JIG-compliant water-in-fuel monitoring. U-Fuel's self-serve stations include a water-defense system that stops the pump until water is drained.
- What are the options for self-serve avgas?
- U-Fuel builds complete self-serve stations — enclosed systems, remote islands and barrel dispensers — with adjacent card readers or POS-linked credit-card readers. On the software side, FBO Director lists automation for QT Pod (SiteMinder) and FuelMaster self-serve terminals, so self-serve sales land in the same ledger as truck fuelings.
- What is FuelerLinx, and why does it matter to an FBO?
- FuelerLinx is fuel-planning and tankering software for flight departments: it compares contract prices across 29 named fuel vendors and more than 800 FBOs, calculates multi-leg tankering using ramp fees and volume discounts, and dispatches fuel orders. Its companion FBOlinx portal lets an FBO send confidential, customer-specific quotes and ramp-fee data into those comparisons, which is how an FBO's price reaches a flight department that plans in FuelerLinx.
- Which fuel management systems publish pricing?
- FBO Director publishes monthly tiers from $149 (plus $0.20 per transaction) to $689. aerops publishes its airport management software from EUR 19.99 a month, with fuel management in the Enterprise tier from EUR 250. Everyone else — QT Technologies, NDX, FuelerLinx, the meter and register makers and U-Fuel — quotes on request.
